Figure 1 shows how Caroz THE TMS provides real-time visibility into shipments with missing documents, enabling planners to take immediate action and prevent delays or compliance risks.

The platform supports multiple transport flows and document types, making it ideal for organizations operating international shipments with strict compliance requirements. For each shipment, users have immediate insight into which documents can come into play, are optional or required, the current document status and if a document needs to be checked if it is correct. In our implementation we can determine together with our customer when documents should be available in the system and if the planner needs to be alerted if a document is late.

Figure 2 shows how Caroz THE TMS automatically manages all required and optional documents per shipment, including document status, validation checks, and allowing planners to see at a glance which documents are complete, verified, or still missing before departure.

This also includes documents that must be available before release to the carrier, such as the packing list and/or commercial invoice, as well as documents that are required within a defined timeframe after vessel departure. The TMS supports this by enabling configurable alerts per document type, which are set up during the initial implementation to ensure timely availability and compliance.

Automated Document Management for International Logistics

Within Caroz THE TMS, documents are automatically generated based on available shipment data. They are bundled into the correct shipment file and securely shared with relevant parties such as carriers, customs brokers and customers. 

If a required document is missing or incomplete, planners automatically receive a notification. This eliminates manual checks, follow-up emails and Excel based tracking. Even when a shipment is already in transit, Caroz THE TMS continues to monitor document completeness and alerts users whenever action is required.
